Welcome to Taizen Tours. These Terms of Service (“Terms”) govern your relationship with Taizen Tours Limited (“Taizen Tours,” “we,” “us,” or “our”), a registered safari and tour operator based in Arusha, Tanzania, regarding your use of our website (http://taizentours.com/) and the booking of any safari packages, mountain climbs, cultural tours, or other travel services managed by us.

By accessing our website, initiating an inquiry, or completing a booking with us, you explicitly accept and agree to be legally bound by these Terms. Please read them thoroughly before proceeding with any travel arrangements.

1. Booking Procedures and Contract Formation

To secure a customized or pre-packaged safari, an official booking request must be submitted via email, contact form, or direct communication with our founding team. Your contract with Taizen Tours becomes active only when:

  • We have provided a tailored itinerary and price confirmation.
  • You have formally accepted the itinerary configuration and pricing details.
  • The designated non-refundable reservation deposit has been cleared in our bank account.
  • We issue an official booking confirmation voucher.

2. Payment Schedules and Conditions

Operating premium and mid-range safaris across East Africa requires substantial advanced financial commitments to national parks, lodges, and field logistics providers. Therefore, the following structured payment policy strictly applies:

Reservation Deposit: A deposit of thirty percent (30%) of the total tour cost must be paid immediately upon booking acceptance to secure accommodations, custom 4×4 vehicles, and guide availability.

Final Balance Payment: The remaining seventy percent (70%) of the balance must be fully paid and cleared no later than forty-five (45) days prior to your scheduled safari commencement date.

Late Bookings: For reservations initiated within forty-five (45) days of the scheduled departure date, full one hundred percent (100%) payment is mandatory at the time of booking verification.

Failure to settle the outstanding balance within the specified payment window grants Taizen Tours the unilateral right to cancel the booking without liability, retaining the initial reservation deposit to cover institutional cancellation charges incurred from park authorities and properties.

3. Cancellation and Refund Policy

All cancellation notices must be formally transmitted in writing via registered email to our guest coordinator team. The specific cancellation date is determined solely by the timestamp of receipt in East Africa Time (EAT). Refunds are calculated dynamically based on the notice period given:

More than 60 days prior to departure: The 30% deposit is retained as administrative and reservation overheads; any additional pre-paid balances are refunded in full, minus bank transaction fees.

Between 45 and 60 days prior to departure: 50% of the total tour invoice amount is retained as a cancellation fee, with the remainder refunded.

Less than 45 days prior to departure or No-Show: 100% of the total tour price is permanently forfeited. No cash or credit refunds will be issued under any circumstances.

Force Majeure Notice: Taizen Tours will not be held liable or provide cash refunds for unexpected trip alterations, delays, or outright cancellations dictated by uncontrollable external factors, including but not limited to: natural disasters, geopolitical disruptions, civil unrest, sudden disease outbreaks, border closures, air carrier schedule changes, or regulatory modifications issued by the Tanzania National Parks Authority (TANAPA) or the Ngorongoro Conservation Area Authority (NCAA).

4. Mandatory Comprehensive Travel Insurance

Participation in any safari package, trekking expedition (including Mount Kilimanjaro and Mount Meru), or remote wilderness itinerary managed by Taizen Tours is contingent upon holding a comprehensive international travel insurance policy. This policy must remain active for the entire duration of your trip.

Your insurance policy must explicitly cover medical emergencies, emergency evacuation and repatriation (including remote helicopter bush rescue), trip cancellation or curtailment, and loss of baggage or personal valuables. It is your sole responsibility to verify that your insurance provider does not exclude high-altitude climbing or remote overland travel activities.

5. Itinerary Alterations and Operational Flexibility

While we make every logistical effort to deliver our itineraries exactly as confirmed, the nature of wilderness expeditions in East Africa demands professional operational adaptability. Wildlife migrations, road washing, weather patterns, and shifting room availability may necessitate spontaneous adjustments.

Taizen Tours reserves the definitive right to alter routes, camp placements, lodges, or guiding personnel when deemed necessary for guest safety or experience quality. We guarantee that any substituted property or service will closely match the caliber and value of the original selection.

6. Liability Disclaimers and Inherent Risks

Traveling into the wild tracking environments of East Africa carries inherent personal risks, including contact with wild dangerous animals, uneven terrain, high altitudes, and variable medical facilities. By booking with Taizen Tours, you explicitly acknowledge and assume these risks.

Taizen Tours, including its co-founders Julius, Grace, Fabiola, and field employees, acts solely as an intermediary agent for lodges, camps, air charter lines, and local vendors. Consequently, we disclaim all liability for any personal injury, illness, emotional distress, physical trauma, death, or material property loss resulting from the negligence, bankruptcy, or default of any third-party supplier, or from natural accidents in the wild.

7. Client Responsibilities, Passports, and Health Regulations

It is the exclusive legal responsibility of the traveler to obtain and maintain valid passports (with at least 6 months validity beyond the date of departure from Tanzania), appropriate tourist visas, and required medical certifications—including Yellow Fever vaccinations and malaria prophylactics as required by Tanzanian law.

Furthermore, guests must strictly follow all behavioral instructions, safety guidelines, and park regulations delivered by our safari guides during the trip. We reserve the absolute right to terminate the tour of any traveler whose behavior compromises group safety, disrupts wildlife ecosystems, or violates local community protocols, without any obligation to refund or cover repatriation expenses.

8. Governing Law and Dispute Resolution

These Terms of Service and any contractual disputes arising from them shall be governed, construed, and enforced exclusively in accordance with the statutory laws of the United Republic of Tanzania. Any formal legal actions or arbitration must be brought before a court of competent jurisdiction located within the Arusha municipal region.
